Tuition, Payment and Refund Policies

Payment Policy

As a nonprofit organization, the Bend Endurance Academy strives to make programs accessible for families in Central Oregon. Actual program costs are offset through fundraising efforts including corporate sponsorship, grants, and individual donations and we offer payment plans for tuition of most programs.

Payment in full at the time of enrollment is always accepted.

Payment plans are available. A $100 deposit is required at the time of program enrollment.  Remaining balances must be paid in installments according to pre-set criteria in the enrollment system with credit card on file.

Refund Policy for After School Programs and Racing Team only

We highly encourage customers to purchase Active Refund insurance during the checkout process. This allows customers to receive a refund should something happen.  This is the least expensive option for customers.

Bend Endurance Academy may issue a refund if enrollment is cancelled 14 days or more prior to the start of the program minus a 10% service fee.

No refund will be issued if enrollment is canceled 14 days or less prior to the start of the program. 

No refund will be issued if enrollment is cancelled after the start of the program.

However, if a rider has to cancel within the 14 days period or after the start of the program because of an injury or sickness, BEA may offer a partial credit (amount TBD depending on the time of the cancellation). BEA may ask for a doctor’s referral.

If the organization cancels an entire program due to weather (extreme heat, snow, situations causing unsafe activity or driving conditions) or natural disasters (fire, flood,  smoke, etc.), a 50% refund is provided.  

This refund does not apply to BEA cancelling one or a few specific days due to weather or natural disasters. If one day or two have to be cancelled, BEA MTB will offer one remake day at the end of the season if weather permits (end of Spring and end of Fall only). 

 

Refund Policy for Summer Camps and Trips

If a rider has to cancel within 14 days of the start or after the start of the camp or trip due to illness or injury, BEA may offer a partial credit (amount TBD depending on the time of the cancellation). BEA may ask for a doctor’s note.

If BEA cancels one day only or shortens the length of the day, no remake will be offered nor refund will be issued.

 

Credit Policy

Account credit expires 18-months from date credit is issued.

Account credits cannot be transferred between accounts or donated to another account.

Account credit may be used for any of BEA’s programs (Climbing, Mountain Biking, Nordic) for any member of the family.

 

Air Quality and Heat Index Practice Protocols for Mountain Biking Programs

At Bend Endurance Academy, we prioritize the health and safety of our staff and participants. While we do everything we can to go outside, the air must be consistently and predictably healthy for your kids and our coaches.

Air Quality Practice protocols

We continually assess the conditions using the available forecasts and follow the recommendations of the EPA as outlined in their AirNow website. We do our best to make our decisions up to two hours before the start of the ride. We will push the start to later if there are signs it may improve. We also may be forced to cancel right before or during the session if the air quality keeps deteriorating. 

If there is a change or cancelation we will send an email and post to our Social media pages.                                                                                

  • AQI is 150 or under: all rides are held as scheduled. Riders with asthma or heart disease may choose to stay home. All sessions are adjusted with more breaks and less intense riding.
  • AQI is 151 or above for more than two hours: all rides are cancelled or shortened.

Heat Index practice protocols

We are using the OSAA Practice model to guide our decisions related to heat.

All rides will be held as scheduled unless heat becomes a health concern. No news is good news. 

We try to make our decisions two hours before the official start but we may be forced to cancel if the temperature rises higher than expected throughout the day.

Heat Index ≥ 105°F

  • All sessions are cancelled.

Heat Index ≥ 100°F and < 105°F

  • Ride length is a maximum of 3 hours (for All Day Summer camps, the day will finish at 11:30am). 
  • Provide ample amounts of water.
  • Take more breaks.
  • Watch/monitor athletes for necessary action.

    Heat Index ≥ 80°F and < 100°F

  • Ride length maximum of 5 hours (for All Day Summer camps, the day will end at 1:30pm).
  • Provide ample amounts of water.
  • Take more breaks.
  • Watch/monitor athletes for necessary action.
